Document Scanning

When you partner with Vital Records Control as your document imaging provider, you’ll notice the exceptional dedication to service and care you receive. Our local Cincinnati team works with you to identify where paper enters your office, and what documents you need scanned for immediate access and business processes.

Once your documents that need to be digitized are identified, we securely transport them to our Cincinnati digital center. Then, our specialized scanning team methodically prepares them for imaging, reviewing each document for folded edges and any tears that need to be repaired.

With each scanning project, we perform quality control checks to ensure readability of your documents and that there are no missing pages. Then, high-speed scanners convert your physical copies into scanned images. After the scanning process, our imaging specialists examine each file for color correctness and proper orientation.

We categorize your digital documents and perform hand-keyed indexing or OCR (optical character recognition) to make each searchable and easy to locate.

We’ll save your digital copies in the format you need them in, including PDFs, JPEGs, TIFFs, and more. We migrate your digital records to the document management system of your choice so you can promptly receive access to them.

Finally, we will return your paper copies to you, store them in our secure offsite facility, or securely shred them.
